Pay attention to extra conditions that notifications often include: white or light background, date of photograph printed below the face, no caps or dark glasses, signature in black or blue ink on white paper, and a signature in running handwriting rather than capital letters.

Understand KB, pixels and centimetres

  • File size (KB) is how much storage the image uses. It depends on pixel count and JPEG quality.
  • Pixel dimensions (for example 200 × 230) are the width and height of the image. Fewer pixels means a smaller file.
  • Centimetres only make sense with a DPI value. At 100 DPI, 3.5 × 4.5 cm is about 138 × 177 pixels; at 200 DPI it is about 276 × 354 pixels. If a form states only cm, match the aspect ratio and keep the file within the KB limit.

A useful rule of thumb: a 200 × 230 pixel JPEG at good quality is usually 15–30 KB, so hitting a 20–50 KB window is easy once the pixels are right. A full phone photo of 4000 × 3000 pixels will never fit into 50 KB without looking terrible, which is why resizing first matters.

Step by step: photograph

  1. Take the photo properly. Stand in front of a plain white or light wall in daylight, face the camera, keep both ears visible, and fill most of the frame with your head and shoulders. Avoid shadows behind you.
  2. Crop to the right shape. Open the Image Crop tool and crop to the aspect ratio required, for example 3.5:4.5 for a passport-style photo. Keep a little space above the head.
  3. Resize to exact pixels. In the Image Resizer, enter the width and height from the notification (such as 200 × 230) and export as JPEG.
  4. Compress to the KB window. In the Image Compressor, set the target size just below the upper limit (for example 45 KB for a 20–50 KB range). If the result drops below the lower limit, raise the quality slightly.
  5. Check the result. Open the file and confirm the size in KB, the dimensions and the file type (.jpg or .jpeg) before uploading.

Step by step: signature

  1. Sign with a black or blue ball pen on plain white paper. Sign a little larger than usual so the strokes stay clear after shrinking.
  2. Photograph or scan it in good light, directly from above, so the paper looks white rather than grey.
  3. Crop tightly around the signature with a small margin.
  4. Resize to the required pixels (for example 140 × 60) and compress to the target range, such as 15 KB for a 10–20 KB window.
